Applies to: Drawing analysis, detail extraction, specification referencing
If you're finding that PDFs aren't extracting fast enough, or that the AI isn't picking up all the details from your drawings, here's what to do.
For best results, upload to your File Library first. When you add a PDF to the Library (under Materials → File Library), Avoice processes and indexes the document in the background. This typically takes 30 minutes to an hour, depending on file size and complexity — particularly for large architectural drawing sheets with dense details you want the AI to analyse.
Once processing is complete, attach the file from your Library into the chat. The AI will have full access to the extracted content and will be able to reference details accurately.
When can I skip the Library step? For smaller, simpler drawings — a single detail sheet or a short specification section — you can attach the PDF directly into the chat and expect reasonable results right away. The AI will attempt to read it on the fly.
In short:
Large or complex drawings → Upload to Library first, wait for processing, then attach. This gives you the best extraction quality.
Small or simple documents → Attaching directly is fine for quick queries.
If you're ever unsure, uploading to the Library first is always the safer choice.
Applies to: Version control, document management, keeping the AI up to date
Every document you upload to Avoice has built-in version control. When you upload a new version of a file, Avoice tracks it so that the AI always references the most recent version in your Library.
What you need to do:
Upload the updated document to your Library as a new version rather than as a separate file. This keeps the version history linked and ensures the AI knows which version is current.
When you attach a file from the Library into a chat, the AI will automatically pull from the latest version available.
Tips:
Avoid keeping multiple copies of the same document under different names — this can cause confusion about which version is current.
If you've recently uploaded a new version, give it a moment to finish processing before starting a new chat (the same processing time as described above applies).
